In-House IT or an MSP: Which Is Right for Your Business?
Most growing businesses hit a point where IT stops being something you manage as you go and starts needing a proper decision. Hire someone? Find a managed IT provider? Muddle through a bit longer?
The question matters more than it might first appear. Get it right and you have reliable IT, covered security and predictable costs. Get it wrong and you end up paying more for less – or finding out the hard way what a single point of failure looks like.
What in-house IT actually costs
Salaries for IT roles in the UK range from around £28,000 for a junior IT support technician to £55,000 or more for an experienced IT manager. But the salary is only the start. Add on:
- Employer National Insurance – currently 13.8% on earnings above the threshold
- Pension contributions (a minimum of 3% under auto-enrolment rules)
- Training and certifications to keep skills current
- Holiday and sick leave cover – who handles things when they are away?
- Recruitment costs when they eventually move on
A £45,000 IT salary typically lands at £60,000 to £75,000 in real first-year cost once those extras are included. And that buys you one person’s knowledge – not a team.
One person can do a lot. But they will have gaps. Someone strong on Windows and Microsoft 365 may be less confident with firewalls, or cloud migrations, or a complex telephony setup. When a problem lands outside their expertise, you end up calling in a contractor anyway.
What managed IT support costs
A managed IT provider typically charges on a per-user, per-month basis. For most UK SMBs in 2026, that works out at between £30 and £85 per user per month, depending on the scope of the contract and the number of users.
For a 20-person business, that is roughly £7,200 to £20,400 per year. For a 50-person business, roughly £18,000 to £51,000. In both cases, that is often less than the cost of a single mid-level IT employee – and you get an entire team behind you.
That team typically covers helpdesk support, server and device monitoring, patching and security updates, cyber security, cloud services, vendor management and strategic IT planning. You are not getting a single set of skills; you are getting specialists in each area working together.

The expertise gap
The most important difference between one in-house IT person and a managed service provider is not hours – it is breadth of knowledge.
Cyber security is a discipline in its own right. So is cloud infrastructure, VoIP, backup and disaster recovery, and regulatory compliance. A single IT employee, stretched across daily helpdesk demands, rarely has the time – let alone the specialist training – to stay on top of all of these at once.
With an IT support and maintenance service, you are accessing a team of specialists who between them cover all those areas. You also get continuity: if your in-house IT person goes on holiday or hands in their notice, your business is exposed. Your managed provider does not.
Cyber security and compliance
This is perhaps where managed IT pulls furthest ahead. A good MSP maintains security baselines, monitors for threats and helps you achieve certifications like Cyber Essentials – which more insurers and supply chains now require as standard. Achieving and maintaining that kind of security posture demands dedicated attention that most in-house IT generalists simply cannot sustain alongside their daily workload.

When in-house IT makes sense
Outsourcing is not the right answer for every business. In-house IT tends to make sense when you have 100 or more users and complex, bespoke systems that need permanent hands-on attention. Certain sectors – some areas of government, defence, or organisations with very specific on-site security requirements – may also need dedicated in-house resource.
But below around 75 to 100 users, managed IT almost always wins on cost, expertise and coverage. For most SMBs in Gloucestershire and across the UK, it is the more sensible starting point.
The hybrid model
Many businesses settle on a middle ground. An internal IT coordinator handles day-to-day requests and acts as the point of contact for the wider team. The managed service provider handles the infrastructure, security, strategy and anything requiring specialist knowledge. You get a familiar face internally and a full team behind them.
