Cloud Phone Systems for UK SMBs: A Practical Guide
The UK’s phone network changed in December 2025
In December 2025, BT and the major UK telecoms providers completed the PSTN switch-off. The old analogue telephone network and ISDN lines that British businesses had relied on for decades were shut down, and every organisation in the country had to move to VoIP – internet-based calling – whether they had planned to or not.
Many businesses made the minimum change to keep the phones working: a basic digital voice adapter from their broadband provider. The phones ring, calls connect, and life goes on. But basic VoIP and a proper cloud phone system are very different things, and most businesses that opted for the quick fix are leaving a significant amount on the table.
What VoIP actually means
VoIP stands for Voice over Internet Protocol. It means your phone calls travel over your broadband connection rather than a dedicated telephone line. Call quality on a well-configured VoIP setup is at least as good as a traditional line, and call costs are typically lower – especially for calls between offices or to international numbers.
A basic VoIP setup replaces your old analogue line with a digital equivalent. A cloud PBX (Private Branch Exchange) goes much further. It is a full telephone system, hosted in the cloud, that gives small businesses the features that large enterprises once needed expensive on-site hardware to access.
What a cloud phone system like 3CX can do for your business
At System Force IT, we design and manage business telephone systems built on 3CX, one of the leading cloud PBX platforms for UK SMBs. In practice, a properly configured 3CX system gives your team:
- One number, every device. Staff can make and receive calls using the same business number whether they are at their desk, working from home, or on the road. Calls to the office number reach people wherever they are.
- Auto-attendant and call routing. A professional greeting routes callers to the right team or person automatically. No more missed calls going to a single voicemail box.
- Call recording. Useful for compliance, training, and resolving disputes. Can be applied across the whole team or on specific lines only.
- Ring groups and call queues. If your main line is busy, callers are queued and connected to whoever is available first, rather than bouncing to voicemail or giving up.
- Video conferencing built in. Internal meetings and client calls from the same platform, without a separate subscription.
- Integration with Microsoft 365 and CRM tools. Calls are logged automatically against contacts in Outlook, Salesforce, HubSpot, and other platforms your team already uses.
- Easy scaling. Adding a new team member or a new office location is a configuration change, not an engineer visit.
Is basic VoIP from your broadband provider enough?
For a sole trader or a very small operation with a single line, basic VoIP may be perfectly adequate. For any business with more than two or three people, or where the phone is a meaningful part of how customers reach you, a cloud PBX tends to pay for itself quickly – through lower call costs, fewer missed enquiries, and the time saved on manual call routing.
There is also a visibility gap. A basic VoIP line tells you nothing about how many calls were missed, how long customers waited, or how your team is handling incoming calls. A cloud PBX gives you call logs, reporting, and dashboards. When incoming calls lead to business, that visibility matters.
What the migration looks like
Moving to a 3CX system with System Force IT is a straightforward process. We handle number porting (transferring your existing numbers to the new system), configure call flows and auto-attendant to match how your business operates, set up apps on staff laptops and mobile devices, and provide training. For most small businesses, the whole process takes one to two days with no significant downtime.
We then manage the system as part of our managed IT service – keeping the software updated, monitoring call quality, and making changes as your team or call-handling needs evolve. Because 3CX runs in the cloud, there is no on-site hardware to maintain, fault, or eventually replace.
What to do next
If your business is still on a basic digital voice adapter, or running an ageing on-site phone system that you inherited from a previous setup, now is a sensible time to review your options. A cloud phone system costs less than most businesses expect, and the infrastructure you need – your broadband connection – is already in place.
