How fast you need help
A guaranteed response time, out-of-hours cover and on-site visits cost more than "we'll get to it when we can".
Cloud vs on-premise
Physical servers on your site need more hands-on maintenance than a cloud-first, Microsoft 365 setup.
The state of your estate
Old, unpatched or undocumented systems cost more to take on and stabilise. A tidy environment is cheaper to run.

- Compare the same scope. Line the quotes up against the same number of users, devices and included services, not just the monthly figure.
- Ask what's not included. The cheapest quote often wins by leaving out something you'll definitely need later.
- Check the response times. A guaranteed SLA is worth more than a slightly lower price with no commitment behind it.
- Find out who actually answers. Ask who picks up the phone, where they are, and whether you get the same people each time.

- A headline price far below everyone else, something is being left out.
- No clear response-time commitment, just vague "best efforts".
- Licences bundled so opaquely you can't tell what you're really paying for.
